This Privacy Policy explains how CoreTrack Ltd ("PawTrack", "we", "us", "our")
collects and uses personal data when you use the PawTrack platform. We aim to be transparent and only
describe what the system does today.
1. Who We Are
PawTrack is a UK-based platform operated by CoreTrack Ltd. If you have questions about how your data is
handled, contact us at support@pawtrack.uk.
2. Information We Collect
We collect information you provide and data created by your activity on the platform.
2.1 Account & Profile Information
Email address, password (stored as a hash), and phone number.
Name and address details for Pet Parents and Pet Professionals.
Account settings, notification preferences, and last login timestamp.
2.2 Professional Business & Verification Data
Business name, description, service details, and availability.
Verification documents (e.g., insurance certificates, ID documents).
Verification status and audit notes recorded by admins.
2.3 Pet Profiles
Pet name, species, breed, age, weight, and profile details.
Health and care notes (allergies, medical conditions, medications).
Behaviour notes, feeding preferences, emergency contacts, and vet details.
2.4 Bookings, Appointments & Reliability Data
Booking history, appointment status changes, and timeline entries.
No-show claims, dispute status, and reliability events.
2.5 Payments
Stripe PaymentIntent and Checkout Session IDs.
Payment status, refunds, and payout tracking data.
We do not store full card numbers or CVV data. Payment processing is handled by Stripe.
2.6 Messages & Communications
Messages exchanged through PawTrack conversations.
SMS preferences are stored, but SMS delivery is not currently enabled.
2.7 Location & Check-in Data (No-Show Responses)
Optional location snapshots submitted during no-show disputes.
Accuracy and timestamps tied to no-show responses.
2.8 Technical & Security Data
Rate-limit and security logs may include IP address and request metadata.
Device/browser data in server logs where required for security.
2.9 Cookies & Local Storage
We use essential cookies for authentication and security. Optional analytics scripts only load if you
opt in and the feature is enabled. See our Cookie Policy.
3. How We Use Your Information
Create and manage accounts, profiles, and bookings.
Provide species-appropriate care matching and appointment management.
Process payments, refunds, and payouts through Stripe.
Run verification workflows for Pet Professionals.
Maintain reliability records for transparency and accountability.
Send operational communications and support messages.
Detect and respond to misuse, fraud, or safety concerns.
We do not sell personal data and we do not run targeted advertising.
4. Legal Bases (UK GDPR)
We rely on the following lawful bases when processing personal data:
Contract (to provide the PawTrack service you request).
Legitimate interests (platform safety, fraud prevention, and service improvement).
Consent (for optional analytics cookies, if enabled).
Legal obligation (where required by law).
5. How We Share Information
We share information only with service providers needed to run the platform:
Stripe for payment processing and payouts.
SendGrid for transactional email delivery.
Blob storage providers for documents and profile images.
ClamAV (self-hosted) for malware scanning of uploads.
Postcodes.io for postcode geocoding.
Logging/monitoring providers used in production.
We do not sell or rent your personal data to advertisers or data brokers.
6. International Transfers
Some service providers (e.g., Stripe or SendGrid) may process data outside the UK. When this happens,
they are responsible for appropriate safeguards under their own terms and data protection policies.
7. Data Retention
We retain data for as long as needed to operate the platform, meet legal obligations, and resolve
disputes. There is currently no automated deletion workflow in the app.
Bookings and payment records are retained to support refunds and audits.
No-show location data is only retained if check-in retention is enabled; when enabled it is purged after the configured window.
8. Your Rights
Under UK GDPR you have rights including:
Access to your personal data.
Correction of inaccurate data.
Deletion or restriction of processing in certain cases.
Data portability for data you provided.
Objection to processing based on legitimate interests.
Withdraw consent where we rely on it (e.g., analytics cookies).

9. Account Deletion Requests
There is no self-serve deletion flow in the app. To request deletion, contact
support@pawtrack.uk. We will explain what can be deleted and
what must be retained for legal or operational reasons.
10. Changes to This Policy
We may update this Privacy Policy from time to time to keep it accurate and clear.
